What a UK invoice must show

A limited company’s invoice must carry its full registered name, registered office address and company number. A VAT invoice must also show your VAT number, the invoice date and tax point, a unique sequential invoice number, the client’s name and address, what was supplied, the net amount, the VAT rate and amount, and the total. Sole traders show their own name, and their trading name if different.

Payment terms

With no terms agreed, business-to-business payment is due within 30 days, and the Late Payment of Commercial Debts (Interest) Act lets you charge interest at 8% above base rate plus a fixed recovery fee. Put 30 days and a reference to the Act on every invoice so the client knows the terms.

Questions people ask

Does it save my invoices?

No. Print to PDF and keep the file. Nothing is sent to a server, and only your own details are kept in this browser if you leave that box ticked.

What should an invoice show if I am not VAT registered?

No VAT line, which is what the law requires. Leave the VAT number blank and none appears.

What invoice number should I start from?

Any, as long as the sequence stays unique and unbroken from then on. INV-2026-001 is a common pattern.

Do I need my company number on an invoice?

Yes, if you trade through a limited company. It is a Companies Act requirement on invoices and business letters.

How this is worked out

Line amounts are quantity times unit price. Net is the sum of lines. VAT is net times your rate, only when a VAT number is entered. Total is net plus VAT. Figures are rounded to the penny. Nothing is stored or sent.

Full formulas, rounding rules and test cases are on the methodology page. Every rate update is listed in the changelog.
